Speaking to Inform

Many have heard this famous quote from media guru Marshall McLuhan: "Faced with information overload, we have no alternative but pattern-recognition." (Counterblast Toronto: McClelland and Stewart Limited, 1969, p. 132).

And yet, when presenting information, we do not want our audience to resort to pattern-recognition, as this may very well distort the meaning we are trying to present. Consequently, we need to carefully structure our presentations in such a way as to ensure that the audience perceives the same message that we convey.

The Toastmaster International Speaking to Inform manual provides us with the opportunity to practice communicating, so that our listeners will easily understand and appreciate the information.

This advanced manual contains the following five projects:

1. The Speech to Inform

2. Resources for Informing

3. The Demonstration Talk

4. A Fact-Finding Report

5. The Abstract Concept

At the District 67 Advanced Manual Training on January 6, 2008, for Northern Taiwan , I presented a workshop on the Speaking to Inform manual, which I had completed in 2003. It had been a long time, since I had review this manual, and the more I analysed the contents, the more I appreciated the importance of the objectives of each project.

This manual gives us the opportunity to learn useful techniques for a variety of informational speeches, as follows:

A. Selecting and organizing information to aid the audience understanding,

B. Analyzing the audience, in order to target the information and visual aids to their interests,

C. Preparing a demonstration speech, which explains a process, product, or activity,

D. Reporting and providing sufficient information (with Q & A) on a situation, event, or problem of interest and, so that the audience can form a valid conclusion or decision, and

E. Researching, analyzing, and explaining an abstract concept, theory, historical force, or social/political issue.

The theme running through all of these projects is the absolute necessity of organizing the information, so the audience can easily understand the points and relate the information to the larger whole. With presentation software becoming increasingly important to office professionals, the Speaking to Inform manual provide helpful techniques on using visual aids.

These challenging projects provide Toastmasters with valuable experience and practice in presenting informational speeches. Since this manual is so useful in career development, I recommend that it be the first advanced manual for members, who have completed their CCs.

(Counterblast Toronto: McClelland and Stewart Limited, 1969, p. 132).
